Cavendish Conference are London’s leading conference group with a portfolio of purpose built venues providing training, conferences, exhibitions and meeting space. The Requirement
With a portfolio of venues across London, staff are moved from location to location to provide conference support as required. This meant that customers trying to call staff members never know what number to reach them on, which caused very slow customer response and satisfaction issues. Each venue had its own stand-a-lone Meridian phone system that provided no flexibility and resulted in calls being lost or not returned. Also, if a venue didn’t have a conference running on a particular day then it may be left unmanned and the telephone lines at the venue would be forwarded to another venue. As calls were forwarded over the PSTN it was very expensive and led to very high BT bills.
The Solution
Unifi designed and installed a Cisco Unified Communications solution that has drastically improved Cavendish Conference’s operational efficiency, employee productivity and reduced the cost of their monthly telephone bills.
Each site is now connected via a Unifi provided VPN with Cisco Integrated Services Routers terminating the VPN at each site. At the largest site, Unifi have installed a Cisco Unified Communications Manager Business Edition. IP Phones at all sites now register with the Business Edition across the VPN, which allows employees to log onto any phone, at any centre, to obtain their telephony profile. Calls to their direct dial number will call through to this phone when they are logged in. Calls can also be made site to site, free of charge across the VPN, which has led to a massive increase in customer responsiveness and reduction in the monthly BT bill.
When staff are not available, customers or colleagues can leave a voice message on the Cisco Unity voicemail system that each employee can retrieve from any IP Phone at any Centre. By deploying an Auto Attendant at the central site, Cavendish can now advertise one main number that prompts callers to select the centre they want to be put through to. This call travels across the VPN so incurs no extra call charge and has further improved customer satisfaction as customer’s can reach the centre they require at the first attempt.
In addition to providing a new telephony and network infrastructure, Unifi has added secure wireless capability for delegate browsing. Using Cisco Aironet Access Points and Cisco VLAN technology, Unifi have segregated delegate browsing from the rest of the network so that only Internet access is given.
